Pay Grade: 37 Hiring Range: $16.19- $19.43 JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Student Services Specialist III performs complex administrative duties for the department of Student Affairs and provides customer service to students including maintenance of admission records, compilation and analysis of data, and report generation. This position is responsible for a variety of tasks related to Admissions and Enrollment Services Compliance such as serving as the primary point of contact for applicant reinstatements, non-degree applications, accuracy verification of supplemental document submission and document indexing for all UTHSC applicants. DUTIES AND RESPONSIBILITIES: Manages the reinstatement and non-degree applicant process in Banner. Ensures the proper indexing of all reinstatement and non-degree applicant materials. [e.g., citizenship documentation, background check reports, eligibility verification for entitlements documents, residency documents, transfer coursework syllabi or transcripts]. Reviews Tennessee residency classification and serve as the administrative chair for the Residency Appeals Committee. Oversees document receipt, compliance and data integrity for all UTHSC programs utilizing applicable software reporting tools. Produces admissions reports for the Director on a regular schedule. Manages the regular review of discrepancy reports and make necessary data corrections. Communicates clearly and regularly with the Admissions Leadership Team and Admissions Counselors, the status of applicant files and assist with researching any missing documents, which may include providing direct customer service to the applicant or college admission liaison. Communicates with students seeking in-state residency to explain the Tennessee regulations and the appeal processes. Trains Admissions team members, trouble-shoots problems, and collaborates with IT to build workflows, forms, and other business process improvements. Performs other duties as assigned.
Qualifications MINIMUM REQUIREMENTS: EDUCATION: High School Diploma or GED is required. Bachelor's Degree in MIS or IT Degree is preferred. (TRANSCRIPT REQUIRED) EXPERIENCE: Four (4) years of administrative work experience; OR Associates Degree, two (2) years of administrative work experience. Experience in higher education is preferred. Ability to maintain a high quality of work while managing multiple priorities. Ability to work independently in a fast-paced environment. Proficiency with computer systems, such as Banner, PeopleSoft or Hobsons is preferred. Knowledge of reporting software such as Crystal or Argos is preferred. Mastery of the Microsoft Office Suite. Document imaging software such as OnBase or ImageNow. Must have strong computer and word processing skills; working knowledge of spreadsheets and database applications; general business administration skills. Must have excellent customer service skills; commitment to working with diverse constituencies; solid proofreading/editing skills; excellent grammatical, verbal and written communication skills.
