The Enrollment Services Receptionist & Visit Coordinator position is responsible for scheduling and coordinating comprehensive campus visits for prospective students and their families.
Responsible for receiving and welcoming visitors to the Office of Undergraduate Admissions, managing and directing the Student Ambassadors organization, fielding phone calls and online communications for the Offices of Undergraduate Admissions & Financial Aid, responding to requests for information, completing data entry, and overseeing special projects. This position reports to the Vice President for Enrollment Management and supports the work of the Admissions and Financial Aid teams and the University in reaching strategic enrollment goals. Responsible for scheduling, developing itineraries, and coordinating campus visits for prospective students. Oversee the training and scheduling of current students identified as Student Ambassadors and work-study in the both offices. Serve as the primary point of contact and information resource in the Offices of Undergraduate Admissions and the Financial Aid Office (Both internal and external customers). Responsible for answering the offices’ main phone lines, delivering messages, responding to information requests, greeting visitors and managing successful visits for prospective students and their families. Relationship development and successful collaboration with faculty, staff, administrators and current students throughout the University. Maintain electronic calendars and schedule appointments for the Director of Undergraduate Admissions, Admissions Counselors, Director of Financial Aid and Financial Aid Officers. Proficiency with the Admissions Office CRM, Federal financial aid software and the University-wide computer operating system. Maintain database of prospective students by performing and supervising data entry and by making appropriate updates to student records. Cross-train to provide occasional backup for the Application Coordinator in Admissions, related to admission file status changes and admission decision letter production. Assist the Office of Financial Aid Office with verification, audit preparations, CX file management, or other needs as assigned. Assist with materials preparation for special events, on campus and off campus programming. Attend workshops, conferences, and other training sessions as appropriate. Assist with other Enrollment Service (admissions and financial aid) functions as assigned. Other duties within scope of department’s responsibilities as defined by supervisor.
Some college attendance and previous administrative or office experience, preferred. Appreciation for the importance of a Liberal Arts education at a faith-based institution. Excellent written and verbal communication skills. Positive, service-oriented attitude. Engaging and effective phone skills. Genuine enthusiasm for working with college-aged students and their families. Ability to work in a team environment with changing work requirements and priorities. Proficient and accurate with computer database programs and word processing. Competent with computers, copiers, printers and e-faxing. Energy, organization, and a sense of humor. Strong ability to multi-task in a pressure environment. Ability to maintain confidentiality regarding all aspects of office functions. Able to visually proofread large amounts of data in financial aid documents, lists, reports and forms. Must demonstrate strong leadership skills.
