1.Respond to individuals telephoning the Office of Admission by providing information, forwarding calls to appropriate personnel, or taking messages. Helping to maintain an appointment calendar for each counselor and schedule appointments with callers when the Assistant Director of Admission and Campus Visits is not available. Receive calls directed to staff members who are not at their desks and process accordingly.
2.Assist in greeting individuals visiting the Office of Admission. Help in providing appropriate information, including copies of publications. When appropriate, see that visitors fill out relevant form(s) and direct visitors to other staff members, generally admission counselors.
3.Assist in coordinating mailing projects to prospective students.
4.Help to enter and update data after visit programs.
5.Manage Visit Day and Information Sessions including registration, confirmation emails and after programs letters and/or email.
6.Perform a variety of tasks pertaining to assisting the Assistant Director of Admission and Campus Visits.
7.Supervise student workers performing such tasks as answering the phone, record keeping and computer entry. Provide training as necessary, schedule, assign and monitor workers.
8.Assist with scheduling room reservations for the Office of Admission's meeting spaces.
9.Other related duties as appropriately assigned.
A high school diploma or GED is required. Additional education, especially training in computerized office operation, would be helpful.
At least two years of experience in an office environment, ideally in an academic setting, is preferred.
To provide appropriate information and excellent customer service to individuals who call the College and/or the Office of Admission. To assist the Assistant Director of Admission and Campus Visits in scheduling appointments and performing other secretarial functions related to campus visits, including data entry for individual and group visitors. To also help the Assistant Director of Admission and Campus Visits in greeting and providing appropriate information and services to individuals who are visiting the Office of Admission. To provide support to admission counselors and the Assistant Director of Admission and Campus Visits by creating and maintaining extensive records. Assist with the entering of purchase orders and check requests and entering International Prospects in Datatel. Assist in approving of room reservations. Assist in coordinating mailing projects to prospective students.
This is a full time 10-month position; Monday-Friday 8:00am-5:00pm; Does not work the month of June & July.
