The Manager of Admissions Operations is responsible for managing the Admissions Operations staff and coordinating the distribution and timely completion of all admissions operational functions in support of established enrollment goals for all certificate and degree programs at all CIA domestic campuses. These functions include but are not limited to inquiry and application processing, electronic lead imports, event registration maintenance, execution of direct mail communication tracks, and recruitment event coverage. The Manager of Admissions Operations is also responsible for ensuring continual coverage of the admissions reception desk and phones, guaranteeing the accurate delivery of information in a professional, courteous manner. The Manager is responsible for maintaining staff proficiency in both the Admissions Legacy and Datatel Recruiter systems for the entire department, in collaboration with the Admissions Systems Manager, and establishing measures to certify data accuracy and provide needed training.
Support student recruitment efforts by understanding the data stored in the student database, developing data entry best practices, and maintaining the integrity of the data entered into the database.
Ensure the efficiency of admissions procedures by developing and maintaining procedure manuals for admission system tasks and coordinating informational updates for all admissions system users.
Monitor and adapt operational procedures in response to changing admissions team needs and requirements, as well as evolving technology and system tools.
Ensure accuracy and consistency of information that is communicated by staff to the prospective student, alumni, educators, guidance counselors and parents via phone, email and mailings.
Monitor the level of customer service provided by the team to ensure exceptional, unsurpassed customer satisfaction.
Maintain personal and team proficient understanding of all program requirements, application deadlines, and review processes and provide staff updates on changes in a timely manner.
Responsible for monitoring letter tracks from both admissions systems to ensure accurate functionality, content, and timing of execution.
Promote and facilitate staff development and training in areas related to office operation such as new technology and software and innovative process redesign.
Establish best practices regarding data input and provide assistance for any needed data clean-up projects.
Manage Admissions Operations staff to include recruitment, training, performance evaluations, feedback and goal setting.
Hire student workers and manage their schedules to support needed assistance in the areas of Admissions Operations and Admissions Reception.
Support the student recruitment effort as needed and perform other activities as assigned by the Director of Operations and Communication.
Any and all other duties as assigned.
Bachelor's Degree from an accredited institution.
Minimum of five (5) years of experience working in a high volume customer service environment.
Master’s Degree preferred.
Minimum of two (2) years of supervisory experience.
Higher education experience preferred.
Previous working experience with admissions, financial aid, bursar and registrar functions an asset.
Previous experience with Datatel Recruiter or a similar admissions system a strong preference.
Ability to effectively nurture and lead a cohesive team to support the Institute's commitment to a high standard of excellence.
Strong computer skills required, including the ability to work effectively in the Admissions system, Datatel Recruiter, and MS Office Suite products including MS Access.
The ability to successfully evaluate and improve process efficiencies is critical to the success of this position.
Ability to utilize new technology and system tools to improve efficiency and better meet customer needs.
