Reporting to the Chief Admissions Officer, the Assistant Director of Enrollment Technology (ADT) maintains the data integrity of all admissions databases. This position is responsible for ensuring the accuracy of data in SLATE. The ADT builds and maintains data mapping and import and export rules for a wide range of source files, including Colleague, Common Applications, ACT, SAT, etc. The ADT will work closely with Admissions/Enrollment stakeholders including, but not limited to, the Office of Marketing and Communications, Registrar, Financial Aid, and Information Technology Services to extract admissions data and produce reports on a weekly basis on the applicant pool. In addition, the ADT will be called upon to develop and produce other lists and reports, as requested, by the enrollment leadership team. The ADT will assist with extracting lists and setting up mail merges for mailings. During peak season, the ADT may need to support administrative work related to processing student applications.
Description of Essential Job Duties:
Responsible for the operational maintenance and data integrity of the admissions databases including, but not limited to Slate. Ensures accuracy of data by updating and changing student information, and by developing methods to check for discrepancies and redundancies.
Runs import/export process for various mass data entry loads; editing large data sets to ensure accuracy on up-loads; bridging information on a daily basis from Slate to Colleague. Ensures proper source codes are assigned and duplicates are deleted.
Builds and maintains data mapping and import and export rules of a wide range of sources files, including Common Application, ACT, and SAT, Uversity UChat, and Schools App, etc. Performs database and import table maintenance.
Creates and maintains queries and communication flow rules, sometimes utilizing SQL. Maintains and develops ad-hoc reports. Maintains and disseminates the weekly reports. Understanding of fundamental statistical principles desired.
Works closely with ITS staff to improve database operations and data import/export processes; monitors, filters and corrects data and troubleshoots and problem solves all system related issues.
Develops procedures to automate manually performed procedures.
Assists with data entry during high volume periods.
Assists with mailings to prospective students and institutions, compiles data and mail merge reports for direct mail and e-mail campaigns, and streamlines office operations to maximize efficiency.
Retrieval of online applications and application credentials.
Sorting, organizing, and matching application credentials of prospective students.
Data entry of application credentials; marking the proper notation on file folders; preparing files for Registrar's Office.
Normal working hours with occasional evening and weekend hours required
Performs other functions as assigned.
The ADT must be self-directed, efficient and detail-oriented. Position requires ability to work with sensitive data/issues requiring high levels of confidentiality, as well as to positively promote the college’s programs in daily contact with prospective students.
