This role is responsible for supporting the student recruitment and admissions process from point-of-inquiry through first-time enrollment for identified School of Education (SOE) programs. Serving as a pre-admission counselor, this position focuses on engaging with prospective students through the deployment of proactive communication and outreach plans and by providing effective support to prospective students serving as a concierge or liaison, information resource across SOE's Enrollment Management Services (EMS) Team.
Reporting to the Director of Admissions, this position serves as admissions support for two doctoral programs, 16 master’s degrees and 16 graduate certificate programs in SOE across five program areas.
As a member of the Office of Admissions/Enrollment Management Services Team, this position works collaboratively with the SOE Admissions staff, SOE Faculty Program Leads and other areas of SOE to drive new enrollment growth.
This role demands a high level of collaboration, coordination, and organization, efficient communication skills particularly with diverse populations and skills in tracking and problem solving to promote enrollment growth.
Specific Duties & Responsibilities:
Provides substantive information to prospective students on program curricula options and admissions requirements, including academic support, tuition billing, financial aid, etc.
Advises and guides prospective students from the information gathering to their decision-making process
Proactively reaches out to prospective applicants by phone, email and text messaging to coach and guide them through the information gathering process, answer questions and to promote the SOE brand to facilitate conversion across the admission funnel. It is estimated that 40% of this position’s average working day will be spent performing phone outreach to convert prospects/applicants in the admission funnel.
Coordinates and works with SOE academic program faculty to schedule pre-admission appointments for prospective students (in-person, phone or video conferencing)
Collaborates with the Director of Admissions and SOE Program Area Leads to develop and use admission criteria rubrics in order to effectively counsel prospective applicants on “right fit” and potential admissibility to programs
Enters and updates documentation on prospect/leads and applicants within the School’s designated CRM/online application tool to maintain records of interactions
Tracks application statuses and communicates with Program Area Leads for the turnaround of admission decisions to candidates
Collaborates with Assistant Director of Admissions to develop a calendar of upcoming events to share with prospective students (e.g., virtual webinars, open houses, attendance at graduate or professional fairs, SOE lectures, etc.)
Participates in meetings and events that require travel to other JHU campus locations, as well as recruitment events and periodic evenings and weekend hours
Admission to Enrolled/First-Time Registration Support (40%)
Proactively guides newly admitted students onboarding activities including the process of completing online or in-person orientations, registration, academic support resources, financial, and technology support
Serves as the liaison between new students and academic support, including library, technology support, career services, campus policies and procedures and other resources, to maximize student satisfaction and retention
Provides admissions and first-time registration support to newly admitted international students and special cohort groups
Assesses and anticipates newly admitted students' issues and needs, in order to refer students to appropriate support systems across SOE and conducts follow-up
Coordinates with SOE Program Area and Faculty Leads to obtain first-semester course registration schedules for newly admitted students in an effort to assist and promote conversion from admitted to registered status
Researches new student issues, responds directly to new students and refers matters as appropriate to other SOE areas
Gathers and analyzes information obtained from the SOE Applicant Experience Survey to collect and analyze trend data on applicants who have declined an admission offer or withdrawn from the admission process
Assists the Admissions Operations Coordinator during peak periods of application submissions to research status of files for divisions, contacts students by phone or email to collect missing information, reviews admissions records for complete and accurate information and audits pending files for missing documents
Assists the Records and Registration area in resolving newly admitted student issues with data transfer, changes of program status, file management, resolution of errors, etc.
Performs other duties as assigned
Minimum Qualifications (Mandatory):
High School Diploma/GED required
Four years progressively responsible administrative experience
Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula
JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
Bachelor’s degree preferred
Three years of relevant experience of professional experience in college admissions and recruitment, enrollment or student services, or an equivalent combination of education and experience preferred
Special Knowledge, Skills, and Abilities:
Possess practical problem solving and superior communication skills, and ability to work well in a fast-paced and team-oriented environment
Ability to maintain cooperative relationships with faculty, administrators, and other affiliated institutions
Continually improve processes associated with admissions activities to enhance prospective student satisfaction and the timeliness of admissions decisions
Ability to work to work well under pressure, meet competing time frames, and prioritize work
Strong organizational skills
In-depth knowledge of academic programs, including curricula, admissions requirements assigned
Working knowledge and experience using customer relationship management systems
Ability to use Microsoft applications and other student information systems at a practitioner level, as well as utilize new recruitment/admissions technologies to increase efficiency and reach
Knowledge of federal and state privacy laws
