The Office of Undergraduate Admissions at the University of Tennessee, Knoxville, (UT) invites applications and nominations for an Administrative Services Assistant position located in our Memphis office. The Enrollment Management (EM) division comprises more than 150 full-time staff who serve our students through the following departments and functions: Undergraduate Admissions, International Recruitment, Transfer Center, One Stop Student Services, Financial Aid and Scholarships, University Registrar, EM Communications, and the Veterans Resource Center.
Provide high level service to everyone who contacts Undergraduate Admissions. Support the administrative and recruitment efforts of the Associate Director and Admissions Counselor in Memphis through coordinating appointments, handling phone messages, and maintaining office records. Send communications on behalf of Undergraduate Admissions, Associate Director, and Admissions Counselor in the Memphis office as needed. Assist the Associate Director in special event planning and execution of diversity initiatives. Interpret and provide information on admissions process, and policies, to prospective students, parents, and high school guidance counselors.
Maintain departmental operating procedures, monitor office expenditures, purchase and procure office supplies. Process domestic travel requests and expense reports for the Memphis office and Regional Recruiters ensuring adherence to established University and departmental policies and procedures. Develop and manage reports, presentations, websites, and databases as needed. Assist with departmental assessments including administering surveys, coordinating focus groups, and data collection as needed.
Create academic records for incoming applicants by evaluating coursework and other supporting documentation. Perform course analysis and evaluation of high school transcripts to identify courses taken and grades received. Represent the University at selected meetings and attends recruiting events, programs, and workshops when needed in support of the Memphis professional staff. Occasional evening and weekend hours that may include visits to the UT Knoxville campus.
