As a member of the Office of Admission at Harvey Mudd College, the Operations Assistant/Receptionist works in a highly collaborative environment to introduce the public to our community and to enroll students to the college by managing visitors’ experiences and providing operational support.

SUMMARY OF DUTIES AND RESPONSIBILITIES
Ensure positive, informative, and accurate interactions via phone, email, or in-person with prospective students, families, counselors, and other constituents.
Create a welcoming visit experience for prospective students, families, counselors, and other constituents.
Maintain office visit calendar and oversee day-to-day duties of student workers (i.e. tour guides, hosting interns, and senior interns).
Process (including data entry of) prospective student information to ensure integrity of all student data provided in inquiry cards, applications, transcripts, test scores, financial documents, and other student record information.
Develop fluency of office tools and procedures, especially Technolutions Slate CRM.
Learn the College’s mission and ethos. Provide fundamental information regarding the College to prospective students.
Field questions from the public and appropriately direct queries to admission counselors or other college staff.
Practice discretion and maintain confidentiality.
Participate in various admission-related events.
Perform related duties as assigned.
High school diploma or equivalent.
One year of administrative, secretarial, or clerical support experience.
Experience in student service and/or admission office setting.
Experience working with a database system, CRM, SIS, or document imaging.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
Can thrive in a collaborative team environment and interact successfully with individuals of varying abilities, backgrounds, interests and beliefs.
Skilled in the operation of a computer, data entry techniques, and specified software including Microsoft Office (Outlook, Word, Excel, etc.) and G Suite (Google Drive, Docs, Sheets, Calendar, etc.).
Able to communicate effectively both orally and in writing, and correctly use English language grammar, spelling, punctuation, and vocabulary.
Skilled in telephone etiquette and techniques (i.e. holding calls, transferring calls, and taking messages).
Able to understand and follow oral and written directions, but also able to work independently with little direction, take initiative, problem solve, and propose solutions.
Able to meet deadlines and successfully manage several projects at once.
Has excellent attention to detail and able to perform data entry with minimal error rate.
Able to maintain confidentiality and has respect for high standards.
Has a willingness, ability, and desire to learn, apply and explain various policies and procedures.
Perform other duties and tasks as assigned.
While performing the duties of this job, the staff member is regularly required to sit, stand, use hands and fingers, talk, and hear. The employee is occasionally required to reach with hands and arms. The individual must regularly lift and/or carry up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus.
