The Stanford MBA Admissions Office seeks a Program Manager for our Operations Team. The Operations Team ensures the success of the MBA Admissions Office by supporting the department's marketing, recruitment, evaluation, and yield strategies and initiatives. The Program Manager demonstrates leadership, collaboration, judgment, and teamwork in managing initiatives for the Operations Team and across other teams in the department.
The Program Manager oversees the Visa process for incoming international MBA students, including communication, advising, funding, and applications/forms. They maintain a strong partnership with Stanford's Bechtel International Center to understand policy changes and implications for Visa processing.
This individual exercises judgment and discretion while working efficiently and accurately in processing a high volume of applicant communication. This individual demonstrates project and time management skills, as well as critical attention to detail, while overseeing logistics for generating and mailing MBA admission letters. They also review and verify incoming students' educational information and transcripts for accurate reporting and for maintaining institutional data integrity in PeopleSoft.
In addition, the Program Manager answers email, phone, in-person, and webinar admission inquiries from prospective students and other visitors. They work with our admission counselor to oversee the front lobby and provide a welcoming environment to visitors. They also serve as back-up for coordinating our on-campus class visit and information session programs. JOB PURPOSE: Responsible for making recommendations and resolving first level decisions on issues regarding admission, financial aid, housing, registrar services, visa services, student life, advising, career counseling and academic services using defined policies and practices and professional knowledge. Provide advice to prospective and incoming MBA students on a range of issues to guide them in making appropriate choices and decisions. Manage the Visa process for incoming students, monitor and process critical admission-related communication, and track and verify admitted student information for successful matriculation. CORE DUTIES*:
Oversee the Visa process for incoming MBA international students, including communication and advising, guidance on the process and timeline for completing required applications/forms, and monitoring Visa application progress. Serve as primary contact to Bechtel International Center for understanding and interpreting requirements to successfully process incoming students' Visa applications. Identify possible government and university policy changes that may impact Visa requirements or processing, advise MBA Admissions and the MSx Program on implications for incoming students, and modify practices to align with new policies. Provide guidance to incoming students on the Visa process to help them make appropriate choices and decisions and to ensure successful processing.
Manage logistics for producing and mailing MBA admission letters. Propose and oversee improvements to admission letter packaging; guide Director of Admissions in the signing of decision letters; and coordinate all domestic and international mailings.
Respond to email, phone, in-person, and webinar inquiries from prospective students and other visitors. Provide guidance on admission process and policies, academic curriculum, financial aid, MBA application logistics, etc.
Collect and analyze data from multiple sources. Prepare and summarize reports and make recommendations to enhance offerings and to influence current processes and policies. Process a high volume of hard-copy and electronic applicant communication. Analyze and report on applicant, admit, and incoming student data to support department and external publication reporting needs. Identify and produce data in collaboration with others to identify opportunities to improve Operations and department-wide processes and programs.
Develop, analyze, influence and review, policies, processes and programs by incorporating feedback and trend data learned from first-line interactions with prospective and incoming students. Advise manager and team on policy updates and provide recommendation for implementation of changes.
Identify trends, perform data analysis, and participate in the implementation and testing of new technology.
May provide oversight with the administration of financial processes such as financial reimbursements, data entry, reviewing terms and conditions regarding contracts, understanding vendor requirements, and following up and resolving issues.

MINIMUM REQUIREMENTS: Education & Experience: Bachelor's degree and two years of relevant experience, or combination of education and relevant experience. Higher education experience preferred. Knowledge, Skills and Abilities:
Strong written and verbal communication skills. Exceptional attention to detail in all forms of communication preferred.
Basic computer skills, including experience with Microsoft Office Suite. Advanced Excel and Google Suite skills preferred.
Basic analysis and problem solving skills. Demonstrated diplomacy and negotiation skills preferred.
Customer service skills. Discretion with phone and in-person interactions in a professional and multi-tasking environment preferred.
Relevant computer systems/technology experience. Salesforce and PeopleSoft experience preferred.
Understanding of financial transactions.
Ability to learn and understand compliance with legal, financial, and university policies and external regulations.
Certifications and Licenses: None PHYSICAL REQUIREMENTS*:
Frequently sit, perform desk-based computer tasks.
Occasionally stand, walk, twist, use fine manipulation, grasp, use a telephone, write by hand, sort and file paperwork, lift, carry, push, and pull objects that weigh up to 20 pounds.
