Position Summary: Full time, temporary replacement for the Guest Services Assistant. Provide administrative and coordination support for the Undergraduate Admission Departmentâs daily hospitality and special events.
General Purpose: Oversees the daily visit/hospitality program (campus visits, campus tours) of Undergraduate Admission. Works with the Associate Director of Special Events to continually improve the visit/hospitality program so that it is more competitive with MICAâs peer institutions. Assists with the coordination of departmental Special Events.
Major Role Functions:
Ability to be both a team player and a self starter, and function courteously and efficiently within a fast-paced and deadline driven environment
Works with the Associate Director of Special Events to create and oversee all aspects of outstanding visit experiences for prospective students and parents. Oversees the quality of first contact/information/campus visit given to students or parents when considering MICA as a college choice.
Helps organize and âshapeâ the campus visit, from inquiry to post-visit. Sends reminder emails and follows up with evaluations; makes sure visitor information is captured for mailing list.
Helps organize and coordinate group requests for visits/tours from high schools, colleges and related-organizations.
Manages and updates Undergraduate Admission-related areas of the MICA website.
Provides administrative support and coordination duties for Special Events, including National Portfolio Day, Open House and Visit Days.
Arranges catering, room reservations, and parking (as needed) for meetings and special events.
Manages front desk/reception duties: answers phones and voicemail, updates office voicemail, especially to reflect changes to the normal schedule such as weather emergencies, or holidays; schedules campus tours; opens, sorts and distributes department mail; answers general online inquiries submitted to firstname.lastname@example.org and forwards specific questions to counseling staff.
Maintains office/Admission Counselor appointment calendar (portfolio reviews and meetings).
Schedules/confirms appointments for on-campus visits from prospective students and their families
Works collaboratively with the UGA Associate Director of Special Events to hire and train new Student Ambassadors and make sure returning Ambassadors are always up to date in their knowledge of MICA and Undergraduate Admission.
Oversees the daily management of the Student Ambassadors, making weekly schedules for each semester, creating, tracking and recording timesheets and submitting these to the payroll office according to the pay schedule, scheduling monthly meetings during the semester, making sure the office has ambassador coverage for school breaks (fall, winter, spring, summer).
Compiles, formats, updates and merges visitor data into spreadsheets as needed for analysis.
Orders and maintain office supplies.
Overtime hours may be needed during peak season(s)
Perform other related duties as assigned.
Knowledge, Skills and Abilities:
Knowledge of Adobe Creative Suite
Experience working with web content, updating websites
Experience managing content on social media platforms (instagram, twitter, facebook)
Excellent verbal and written communication skills
Exceptional customer service skills
Detail oriented with strong organizational skills
Ability to multi-task in a very busy office
Bachelor of Arts degree
Demonstrated years in College Admission Visitor Service, or Visitor Service/Customer Service in a related area, specifically managing volunteers and/or student workers.
Proficient in Apple OSX, Microsoft Office
