Under the primary direction of the Assistant Vice President for Marketing and Communications for Enrollment Management, and in conjunction with the Assistant Director of Communication Technology, the Manager- Communication Technology works to ensure the success of the University customer relationship management (CRM) system in support of admissions-related communication.
This new position will support successful recruitment communications via the University Customer Relationship Management (CRM) system, Technolutions Slate, as well other systems used by Enrollment Management (EMG).
DUTIES AND RESPONSIBILITIES:
Serves as the primary liaison for schools and student services offices to support effective Slate usage around campus, including use of communication and query tools within the CRM.
Consults with University colleagues external to EMG to create effective recruitment communication, in conjunction with assistant director of communication technology, which includes:
Building marketing lists, filtering on a wide array of criteria
Drafting, editing and designing messaging based on provided text/content
Building and monitoring email and text message campaigns
Sending ad-hoc messages as needed
Developing training documents and leading training sessions (audiences to include admission counselors, school liaisons, etc.)
Providing vendor partners with mailing lists, filtering on a wide array of criteria
Managing a queue system for CRM-communication requests
Providing end-user support across the University
Consulting with school liaisons, etc. on best practices for form usage, lead tracking and event management and their related communications
Staying abreast of changes, upgrades, enhancements and resources related to the university CRM system and communicating these changes with colleagues across campus.
Developing training documents and leading group and one-on-one training sessions (audiences to include admission counselors, school liaisons, graduate program directors, program assistants, etc.)
Manages Enrollment Management ticketing and tracking system; develops and manages a queue system for CRM-communication and query requests.
Manages and executes Enrollment Management centralized recruitment communications throughout undergraduate and graduate admissions cycles via the University’s CRM system, in conjunction with the assistant director for communication technology and asst. VP for enrollment marketing and communication.
Supports director of enrollment systems with Slate operations, including implementation and integration of new system components. Serves as data steward by approving and granting access to enrollment systems when appropriate and managing yearly audit.
Serves as a member of the University’s Slate Implementation Team (“Slate Captains”) and collaborates with team members as necessary to implement new Slate processes, system rules, etc. Attends annual Slate Summit and related Slate training as budget permits.
Maintains awareness of, shares and utilizes email best practices including browser/client/device compatibility, optimizing deliverability and message standards as well as maintaining CAN-SPAM compliance.
Serves on the EMG Marcom team. Participates in large admissions recruitment events - mandatory (i.e. DuquesneFest, Fall Open House, etc.).
Allocates expenses in Chrome River for University procurement card.
Participates in professional development and performs other duties and projects as assigned by the Assistant Vice President.
Bachelor’s degree from an accredited institution. Communication and/or Marketing degree preferred. Prior experience in writing and managing CRM communication campaigns can substitute for specific bachelor’s degree majors.
Minimum one year of experience in developing communication plans, including drafting messaging and proofreading required. Experience in higher education CRM systems required, strongly prefer experience with Technolutions Slate CRM.
Working knowledge of email marketing, experience in developing email campaigns and messaging;
Previous experience writing email content for multiple audiences, preferably in a university setting;
Attention to detail and accuracy;
Demonstrated planning and organizational skills to accommodate multiple priorities;
Previous exposure to project-related activities through active participation in system-related projects;
Exceptional leadership, customer service, interpersonal, and oral and written communication skills;
Effective presentation skills;
Excellent analytical and problem-solving skills with the ability to prioritize work;
Strong information technology skills with proficiency in Microsoft Office Suite;
Working knowledge of CRM platforms, experience with Slate preferred.
Ability to think strategically and work in a diverse environment either independently or as part of a team;
Ability to work with diverse populations and sensitivity to the need of each individual to be treated with dignity and respect as it relates to diversity in general and the Mission of the University specifically.
