The University of Washington’s Information School is seeking an MLIS Academic Advisor to serve as the primary advisor to the iSchool’s Office of Student Services in all areas of development and implementation related to the Master of Library and Information Science (MLIS) program, which includes promotion, recruitment, event planning, records management, academic advising support and student services. The Office of Student Services is an energetic and highly fast-paced environment where we rely heavily on current technologies to meet the demands of the School and our constituencies. Additionally, this position works closely with the Student Services staff to provide support and leadership for Information School's joint activities such as the All iSchool Welcome, Convocation and iSchool Career Fair, as well as assist with supporting the other degree programs (i.e., Bachelor of Science in Informatics (INFO) and Master of Science in Information Management (MSIM), and PhD in Information Science). The Academic Advisor will work closely with faculty, staff, students, as well as prospective students, alumni and employers. In addition, the Academic Advisor assists with or takes a leadership role in planning Student Services projects that are for the entire School, including but not limited to orientations and convocation ceremonies. The Academic Advisor for our MLIS program is expected to meet with executive-level individuals both internally and externally. In the iSchool, there is an expectation that all faculty and staff will step up where they see an opportunity to apply their special expertise or talents, speak up when they identify opportunities or concerns, and lead by taking actions that exemplify the iSchool’s core values. Leadership within the iSchool is expressed in diverse ways, reflecting the variety of styles and cultures that are represented by our faculty and staff. WHAT YOU’LL BE DOING General Academic Advising •Provide general academic advising to current and prospective students in the MLIS program in all modes and specializations (residential, online, law librarianship, and school library media). Respond to and answer questions (in person, via email, on the phone, or via online chat) related to program, School, and University academic policies and procedures. •Counsel and assist MLIS students experiencing academic difficulty or personal crises regarding options and resources. Refer students as necessary to appropriate UW or community resources. •Assist MLIS students with completion of graduation requests, and related program and Graduate School policies and procedures. •Advise students on Directed Field Work (DFW) options and enrollment processes. Collaborate with DFW Faculty Coordinator and iSchool Career Services staff to communicate resources for DFW. •Manage MLIS Peer Adviser program. •Attend ALISS Town Hall Meetings (quarterly). •Keep MLIS students advised on financial resources available, including but not limited to scholarships and conference travel. •Coordinate orientations for MLIS students (residential/law and online). •Work with student organizations (e.g., ALISS, SLA, SALA, et al) in matters of mutual interest and to enhance communication. Support and provide assistance to their activities and initiatives as appropriate. •Keep informed of resources both on and off campus to assist MLIS students in their academic and personal pursuits. •Communicate student concerns and feedback to iSchool administration and MLIS Program Chair. •Other duties as assigned. Recruiting and Admissions for MLIS Program •Collaborate with Assistant Director of Admissions to support recruiting activities for the MLIS program and other graduate program recruitment initiatives. •Meet and advise potential MLIS applicants on the program and discipline, and explain the application process. Refer applicants to appropriate faculty for advanced discipline-based questions/inquiries, as required. •Coordinate and conduct information sessions and programming for prospective MLIS applicants and newly admitted MLIS students, including on-campus sessions and online web chats, and law in collaboration with the MLIS Program Chair and the iSchool Admissions Counselor. •Participate in review and edits of promotional materials for all aspects of the MLIS program. •Participate on the MLIS Admissions Committee. •Participate in recruiting and outreach in the community and library and information science related conferences and organizations. •Serve on MLIS Scholarship Committee. Event Planning •Assist in planning Student Services Activities including All iSchool Welcome & Fair, iWelcome Week, iSchool Career Fair, Study Breaks, Student Leadership Retreat, and Convocation. •Act as lead and take primary role for facilitating the planning of at least one school-wide Student Services event per academic year. •Schedule relevant information session for current MLIS students on topics such as Capstone, School Library Media endorsement or other degree requirements and options. •Work with ALISS to ensure scheduling of periodic Town Halls with the Program Chairs and other iSchool Administration as appropriate. Communication and Information Dissemination •Serve on MLIS Program Committee. •Administer the various MLIS listservs used to disseminate information to students, as well as contribute to the other Student Services communication media such as the blog and Facebook site. •Oversee content of MLIS Canvas resource pages in collaboration with program coordinators. •Oversee MLIS website content to assure accuracy. Coordinate with iSchool Communications Director for update/edits/additions to the MLIS web pages. •Provide information regarding the MLIS program an MLIS students to other iSchool units including Communications and Advancement. •Interpret University and School policies and regulations to students, faculty, and staff. MINIMUM QUALIFICATIONS •An advanced degree in Higher Education Administration, Library and Information Science, or related field experience. •Minimum of 2 years’ experience in student counseling or teaching, or equivalent education/experience. •Experience in program planning and management, preferably student services. •Must demonstrate excellent communications, planning and information technology skills. •Must be able to work independently, as part of a team, and to lead others. •Must be articulate and able to present well in writing, verbally, and via technology. •Demonstrated success in working with diverse populations. •Experience with supporting an online program. DESIRED QUALIFICATIONS •Experience coordinating internship programs. •Experience using UW systems such as MyGradProgram (MGP) and Student Database (SDB). •Experience working with international students. •Familiarity with fee-based programs and Continuum College. •Knowledge of Microsoft Office products including SharePoint and Access. •Familiarity with Canvas or equivalent learning management systems. •Familiarity with a CRM. •Familiarity with video/web conferencing technology such as Zoom, Adobe Connect or Skype for Business.
