General purpose: The Director of Admission Operations is responsible for directing, managing, and supervising the daily operation of admissions processes, systems, technology, reporting and records functions within the Undergraduate Admissions department.
Summary of Essential Functions
Manage all aspects of technology related systems pertaining to admission recruitment and communication (e.g., Peoplesoft, Access, mailings and communications)
Formulate and define systems scope and objectives, develop and utilize best practices as they relate to utilizing the Oracle Peoplesoft Enterprise Admissions module
Coordinate all data functions, business processes and workflow as well as user training needs as they relate to the Undergraduate Admission office
Provide oversight of the timely processing of paper-based and online admission materials and applications
Manage admission activities as they interface with the campus business offices (Information Technology, Fiscal Affairs, Continuing Studies, Development, and Student Affairs) on issues pertaining to finances, technology, admissions process, and information tracking
Essential Duties & Responsibilities
Hire, train and supervise a staff of 8 direct reports: 3 full-time, 5 part-time
Orient staff to admissions operations practices, procedures, and polices: monitor the work performance of staff, clearly communicate expectations and responsibilities, coach and/or take corrective actions as necessary
Coordinate admissions workflows to ensure timely processing of admissions records, admissions decisions, and related updates; Collaborate with VP and Undergraduate Admissions leaders to ensure timely coordination in relation to key admissions dates and deadlines
Produce regular statistical and analytical reports on inquiry, application, and matriculation comparisons, activities, and trends; Develop new reports as needed
Manage quality control, accountability, and records integrity standards for communications, data and records
Oversee admissions operations functions including data conversion, automated uploads of purchased information such as standardized test scores, promotional mailings, and admission communications
Perform other related duties as assigned
Knowledge, Skills, and Abilities
Exceptional knowledge of relational databases, the Microsoft Office Suite and Windows environment
Advanced Microsoft Access or similar database management/reporting, spreadsheet creation and maintenance skills
Ability to obtain and analyze quantitative and qualitative data with the ability to present complex data analysis
Strong analytical skills
Strong leadership skills along with expertise in facilitating organizational development and change
Ability to supervise, motivate, and manage staff, and manage projects and operations
Team player, able to balance multiple priorities and deadline-driven work in a busy office environment
Reporting to this position: Data Systems Manager, Records Coordinator, Administrative Data Systems Assistant, 5 data entry clerks

Education: A minimum of a baccalaureate degree is required
Experience: Track record of effective staff and project management with progressively increasing responsibilities, and a hands-on management style that includes the ability to hire, train, develop, motivate, and mentor staff. Demonstrated track record of using statistics and technology in developing and implementing operations and procedures.
Five years’ project and staff management experience
Peoplesoft and Microsoft Office Suite experience
