Position Summary:Â Oversees all aspects of the visit experience for prospective students and parents.
General Purpose: Ensures outstanding individual or group visit experiences to the College for prospective students and parents as an essential member of the admission team.
Position Responsibilities: Â
Oversees the quality of first contact/information/campus visit given to students or parents when considering MICA as a college choice.
Manages the daily visit/hospitality programs (campus visits, prospective student campus tours, high school and organization group tours, and events) for undergraduate admission. Schedules, confirms, follows up, and conducts visitor evaluations, from inquiry to post-visit.
Maintains office/Admission Counselor appointment calendar (portfolio reviews and meetings).
Provides administrative support and coordination duties for Special Events, including National Portfolio Day, Open House, and Visit Days. Arranges catering, room reservations, and parking (as needed) for meetings and special events.
Manages front desk/reception duties: answers phones and manages voicemail; schedules campus tours; opens, sorts, and distributes department mail; answers general online inquiries submitted to admissions general email account and forwards specific questions to counseling staff.
Orders and maintains office supplies and assists with departmental invoice processing as needed.
Collaborates with Associate Director to interview, hire, and train new Student Ambassadors and tour guides, ensuring ambassadors and guides are well versed in MICAâs programs and features and MICAâs Admission application requirements.
Supervises the daily work of Student Ambassadors and Tour Guides, including scheduling, ensuring ambassador and tour coverage, managing timesheet submissions, and overseeing routine and special projects.
Ensures visitor information is accurately captured for subsequent mailing lists. Formats and updates event registration for Data collection & analysis. Provides statistical reports on event registration and attendance.
Overtime hours may be required on weekends and weekdays during peak campus visit seasons and around application deadlines.
Perform other related duties as assigned.
Minimum Qualifications:
Experience: Two years of experience in a related field
Proficient in Apple OSX, Microsoft Office, Google Suite
Excellent verbal and written communication skills
Exceptional customer service skills
Detail-oriented with strong organizational skills
Ability to multi-task in a very busy office
Must be both a team player and a self-starter and function courteously and efficiently within a fast-paced and deadline-driven environment.Â
Preferred Qualifications:
Education: Bachelor of Arts degree
Experience in higher education administration
Two yearsâ minimum customer service/receptionist experience in a related area, specifically managing volunteers and/or student workers.
Knowledge of Adobe Creative Suite
Experience managing content on social media platforms (Instagram, Twitter, Facebook)
