Informed by data and in collaboration with the Executive Director of Admission, the Associate Provost for Graduate and Professional Studies, the Marketing and Communications group, and other members of the IC Admission Office, the Assistant Director will help to develop a dynamic recruitment program that sustains and strategically grows graduate student enrollment at the institution. This includes proposing, planning, and executing prospective student recruitment, engagement, and admission strategies that support enrollment goals and initiatives; supporting application processing; assessing effectiveness of recruitment strategies; providing and analyzing graduate admissions data; and managing the full range of admission responsibilities. The Assistant Director will plan and execute recruitment activities and represent the College to a wide range of internal and external audiences. Travel to recruitment and admission events at various venues. Plan and participate in recruitment activities including information sessions, open house programs, interviews, and other outreach. Coordinate use of Slate-hosted graduate applications and facilitate data integration of Centralized Application Service (CAS)-hosted applications; counsel applicants throughout the admission process; ensure timely notification of admission decisions; and engage with accepted graduate students regarding completion of checklist items prior to matriculation. Perform functional responsibilities as assigned; meet established numerical and qualitative goals. Communicate and collaborate with various departments on campus as needed.
This position reports to the Executive Director of Admission and will be expected to collaborate regularly with the Associate Provost and the Marketing and Communications group. The position may also receive input and guidance from members of Graduate Council.
POSITION RESPONSIBILITIES
Under the direction of the Executive Director of Admission and in partnership with the Associate Provost, provide leadership on graduate student recruitment strategy and coordinate the admission application review processes.
Collaborate with Marketing and Communications and the Associate Provost on strategic messaging, outreach, and marketing plans tailored to each of the college’s existing and any newly launched graduate programs to enroll prepared and motivated students.
Communicate and collaborate with various departments on campus as needed to support graduate student recruitment and admission such as Student Financial Services, Office of International Programs, and Student Employment.
Coordinate preparation of Slate-hosted graduate applications by establishing and communicating to internal constituents’ deadlines for updates and ensuring timely opening and closure for external populations.
Provide guidance to graduate programs on communication strategies with applicants used within Centralized Application Service (CAS)-hosted applications and facilitate data integration into Slate for decision notification.
Interface with applicants to respond to questions about degree programs or the admissions process; ensure timely notification of admission decisions; and follow-up regarding completion of checklist items prior to matriculation.
Participate in the management of travel region to include planning and implementing recruitment activities based on review of demographics, socioeconomic characteristics, alumni presence, recent enrollment history and other relevant considerations in accordance with established guidelines and procedures.
Schedule and participate in recruitment travel and events to represent the College at recruitment and admission events at various venues. Prepare and deliver presentations to a variety of audiences in various formats.
Assist in additional activities such as on-campus and virtual programs and regional information sessions and receptions.
Develop and demonstrate multicultural awareness and contribute to cultivating an inclusive, diverse and respectful College community. Demonstrate civil and inclusive behavior when interacting with staff, faculty, students and visitors to the College. Promote a flexible, collaborative and inclusive work and living environment and engage in educational opportunities to increase awareness and understanding of diversity and inclusion.
Establish and maintain personal contact by written correspondence, telephone, email, social media, and other communication vehicles with prospective students and families as well as with counselors, alumni, and others who refer students to the College. Counsel prospective students on admission process, programs, and opportunities at the College.
Develop working knowledge of graduate academic programs, tuition and financial aid processes, and of student life.
Develop a working knowledge of the College’s student information system (Banner), admission and recruitment CRM (Slate), and leverage available technology and data in recruitment activities. Document processes and provide written reports and analysis of specific areas of responsibility.
Execute responsibilities in a manner consistent with the service philosophy and orientation of the Admission Office.
Bachelor’s degree and a minimum of three years’ experience in admissions, recruitment, marketing, or enrollment or related field; experience analyzing and using admissions and enrollment data to inform decision-making; ability to work independently, excellent attention to detail, self-motivated, strong organizational, interpersonal and communication skills and the ability to effectively work and interact respectfully within a diverse and inclusive environment; ability to plan, develop and implement activities, programs and special events; experience maintaining and reconciling office and events budgets ; the ability to work evenings, weekends, and travel extensively is required; a working knowledge of various word processing, spreadsheet, and database software applications are required. Experience working with graduate degree programs or graduate student populations and in a college or university setting is preferred.
