Job Summary: Under the supervision of the Director of Enrollment Affairs Systems and Operations, and in close coordination with the Director of Strategic Enrollment Marketing and Communications, the Undergraduate Management Information Systems Administrator and Reporting Analyst II (MIS ARA) provides leadership and oversight of the Undergraduate Slate CRM instance and associated Realms. This system is critical to university enrollment and revenue generation.
The MIS ARA plays a central role in system integrations and serves as a liaison between campus departments and units, including ITS, to support institutional goals. Integration with Banner is of particular importance. As a designated Slate Captain for the Undergraduate Slate CRM ecosystem, the MIS ARA is responsible for maintaining data integrity and ensuring the system's effectiveness.
The role also involves providing data, developing tools, and generating reports that support strategic decision-making related to campus capacity, academic progress rate (APR), Performance-Based Metrics, and enrollment planning. On a daily basis, the MIS ARA manages the Undergraduate Realms, including but not limited to tasks such as admissions record consolidation, periodic deployment of email, voice, and text campaigns, data imports, mapping, chatbot integration, and the creation of queries and reports. The role also includes long-term planning and the development of application logic, query libraries for communication plans, custom fields and prompts, forms, workflows, rules, populations, and other system infrastructure.
The incumbent is responsible for developing reports and dashboards in support of Enrollment Affairs. Core responsibilities include overall CRM maintenance, customization, development, cycle preparation, training, and Slate population communication planning to align with institutional enrollment goals and objectives. They proactively identify and implement Slate enhancements to improve operations and recruitment functionality.
The MIS ARA serves as a liaison to key campus stakeholders and external partners, including Mainstay, Common App, ACT, SAT, CLT, and ScarletCS, and provides first-level support for CRM-related issues. This includes troubleshooting, triaging requests, and compiling documentation for escalation to the Slate Service Desk when needed.
Under the direction of the Director of Strategic Enrollment Marketing and Communications, the MIS ARA may also occasionally deploy CRM-based communications, including voice, email, and text messages to prospective students and applicants. They also may monitor chatbot content for accuracy and consistency. They validate queries for both internal and external stakeholders, maintaining strict adherence to data security, integrity, and protection standards.
Additionally, the MIS ARA oversees federal student workers assigned to the Slate CRM and serves on the Slate Superuser Steering Committee. In this capacity, they provide technical expertise and cross-Realm support within the Undergraduate Slate environment in collaboration with the Director of Enrollment Affairs Systems and Operations.
Position Qualifications: Requires comprehensive knowledge of CRM tools, i.e., Slate CRM. Additionally requires critical thinking and problem solving, the ability to resolve complex issues, extreme attention to detail and general understanding of Enrollment Affairs. The ability to work in a fast-paced environment collaboratively with ITS and campus stakeholders to achieve campus objectives through Slate CRM tools.
Preferred Qualifications: Creative, inquisitive, and motivated self-starter with CRM Software experience; ideally Slate CRM. Experience with and willingness to excel at CRM field and prompt creation, queries, reports, forms, rules, populations, application logic and management, consolidation of records and deliver/mailing campaigns. Experience with undergraduate/graduate admissions marketing and recruitment and Enrollment Affairs. Communication planning, web development, image/graphic editing software experience. Written and oral communication mastery. Customer service-oriented, possessing excellent communication skills with the ability to work with people from diverse backgrounds. Experience working with Ellucian Banner Student. Experience with project management, training, and documentation creation. Ability to work independently under broad supervision of manager, and sole decision-making. Knowledge of policies and procedures as prescribed by the Florida Department of Education, the Florida Board of Governors, and the University of West Florida. Ability to interpret procedures and policies of the University. Requires judgment and discrimination of information about the different educational systems. Experience working with and securing confidential information.
Minimum Qualifications: Broad job knowledge typically obtained through professional entry-level certifications/credentials, advanced education or 1 year of work experience in a similar role. Step II: MIS Admin & Reporting Analyst II Duties: In addition to the general duties, the position is responsible for one or more management information systems. Requires a deep knowledge of these systems, taking ownership of their maintenance, and full life cycle. Responsibilities: Works independently with general supervision. Problems faced are difficult but typically not complex. May influence others within the job area through explanation of facts, policies and practices. Minimum qualifications: Qualifications appropriate for previous step, recent related credential or certification and practical knowledge of the job area, advanced education or 2 years of work experience in a MIS Admin or Reporting Analyst role.
