The Executive Office Administrator is mapped to Pay Grade CA&P 16 at OHIO, with a target hiring range of $44,592-$59,085. The exact starting salary for the selected candidate will be negotiable, commensurate with education and experience, and competitive in the field within the context of similarly situated positions at public universities nationally.

POSITIONSUMMARY: The Executive Office Administrator is responsible for supporting the operational and administrative functions of the Division of Enrollment Management and its leadership team. Reporting to the Director of Division Operations, the position provides executive-level administrative support, manages the daily operations of the division’s executive office, and facilitates effective communication and coordination across internal and external partners and stakeholders. This position requires strong organizational, communication, and decision-making skills; a high degree of discretion and professionalism; and the ability to anticipate needs, solve problems, and manage multiple priorities with accuracy, diplomacy, confidentiality, and tact.
KEYREPSONSIBILITIES: Lead the day-to-day functions and operations of the division’s executive office, including internal office procedures, coordination of workflow, and ensuring a smooth and professional work environment. Maintain confidentiality protocols and respond efficiently to emerging needs and time-sensitive requests.
Oversee and strategically manage the Vice President’s schedule, ensuring alignment with business operations and long-term objectives. This includes evaluating the impact of scheduled activities on the Division’s operational goals and making strategic decisions about meeting participation and agenda-setting to maximize effectiveness. Proactively anticipate scheduling needs and effectively conserve time, soliciting and providing necessary information to ensure timely, thorough, and adequate preparation.
Lead special projects and coordinate communications that support the strategic goals of the Division. This includes not only managing logistics and coordinating resources but also facilitating the implementation of these initiatives, ensuring alignment with divisional priorities and the University’s strategic enrollment planning efforts. Support research, communications, report preparation, analysis, data collection and creative support for presentations and other materials to help the vice president tell the University’s enrollment story.
Represent the office in interactions with University stakeholders, partners, and visitors, handling inquiries, correspondence, and engagement on behalf of division leadership. Ensure communications are timely, accurate, and reflect the professional standards and priorities of the division. Ensures the confidentiality of all work product, conversations, and planning.
Bachelor’s degree is required by state date. Equivalent experience may be substituted for bachelor’s degree. Minimum of six years work experience.
Master’s degree. Experience in an enrollment management field.
